Data Deletion Policy

Section 1.1A The Universal Approach: As a trusted AI native platform for organizational alignment TruHuddle believes that data privacy is absolutely critical. Meeting data should only exist as long as it serves a clear purpose for your team productivity and internal historical reference. We do not hoard organizational information. This policy outlines exactly how long we keep your huddle transcripts decision logs and action items across our platform and the stringent procedures we follow to ensure data is removed securely when requested.

Section 1.2A Data Minimization: Our processing protocols ensure that your internal discussions are isolated securely. By optimizing our AI routing to extract action items directly into text summaries we minimize the heavy audio files and raw media that need to be permanently stored.

Section 2.1A Workspace Data Management: For organizations utilizing our platform to conduct internal meetings we only process the audio and text necessary to capture discussions and extract decisions. We do not under any circumstances store unnecessary personal details beyond what is discussed in your huddles. If an administrator deletes a specific huddle record or action item from the workspace dashboard the associated text and audio metadata is permanently purged from our active operational databases.

Section 2.2A Cloud Synchronization: Any organizational profile data you explicitly choose to provide such as your team member accounts role assignments or department details is retained only as long as you maintain an active TruHuddle workspace. If you close your entire organization account these details are permanently erased from our servers.

To maintain a highly secure environment we implement strict retention limits for dormant workspace accounts. If an organization profile remains completely inactive with zero huddles hosted or platform logins for an extended period we automatically initiate a security notification and deletion process.

Data Export: Before any permanent deletion occurs we will attempt to package your synchronized decision history and send a secure notification to your registered administrator email address allowing you to reclaim your workspace or download your meeting logs.

Permanent Removal: Once the warning window closes without action we permanently erase your basic profile information and all associated huddle data from our servers to protect your privacy and eliminate abandoned data access points.

You have complete control over your organizational identity and digital footprint across our platform. If you wish to close your workspace cancel your subscriptions stop all AI processing and remove your team from our systems you may initiate this process at any time.

Rapid Action: Upon receiving your verified request we will accurately disable your workspace access and schedule your organizational data for processing.

Total Wipe: This process removes your team authentication tokens meeting transcripts decision logs and action items from our active databases. Once completed this action is completely irreversible.

Section 5.1A Mandatory Security Retention: While you have the absolute right to request workspace deletion please understand that TruHuddle maintains secure operational logs to protect our infrastructure. We may be required to retain basic billing histories and security audit logs to prevent fraud and resolve financial disputes even after you delete your active workspace.

Section 5.2A AI Processing Logs: Anonymous telemetry regarding how our AI identifies speakers and captures decisions may be temporarily retained for debugging purposes. This data is strictly separated from your actual meeting content and is systematically destroyed once routine security audits are complete.

Administrators can manage team profile data and initiate a complete workspace closure directly from the secure settings panel within the TruHuddle dashboard.
